Position Overview:
The Procurement Specialist plays a critical role in supporting procurement activities within the organization. This position is responsible for the acquisition of goods and services, including raw materials, equipment, tools, parts, and supplies. The ideal candidate will have experience with purchasing processes, a strong attention to detail, and the ability to collaborate effectively with suppliers, co-workers, and other stakeholders. The Purchasing Representative ensures all procurement-related tasks adhere to company standards, meet specified deadlines, and promote overall operational efficiency.

Education & Experience:
Educational Requirement: A college degree in a related field (e.g., Supply Chain Management, Business Administration) is preferred, or candidates with comparable professional experience will also be considered.
Experience: Minimum of two (2) years of relevant purchasing or procurement experience. Experience working in an ISO 9001 environment is a plus.
Skills & Competencies:
Communication: Exceptional oral and written communication skills. Ability to effectively communicate and collaborate with diverse teams, including internal staff and external suppliers.
Systems & Technology: Proficiency in word processing, spreadsheets, and additional computer applications. Familiarity with MRP (Material Requirements Planning) systems and other ERP software tools is preferred.
Analytical Abilities: Advanced mathematical skills for cost calculations and data analysis. Must demonstrate an ability to identify and solve discrepancies in purchase orders and invoices.
Organizational Excellence: Strong multitasking, organizational, and time management skills. Proven ability to prioritize tasks, pay close attention to detail, and meet stringent deadlines.
Interpersonal Skills: Highly developed interpersonal skills to collaborate effectively with different levels of the organization and external partners.
Key Responsibilities:
Supplier & Order Management:

Review and process daily activities in the MRP system to identify required purchasing actions.
Coordinate with suppliers on matters such as drawing updates, order changes, cancellations, and rescheduling.
Ensure on-time order fulfillment by addressing supplier delays and resolving potential scheduling conflicts.
Regularly update order acknowledgment dates in the system and document relevant comments or adjustments.
Inventory & Production Support:

Monitor and resolve shortages in existing backlogs, providing notifications to the planning department and management when delays could impact production schedules or on-time delivery.
Track inventory levels to ensure availability for production needs while maintaining optimal stock levels.
Financial Oversight & Documentation:

Ensure all orders meet established profit margin requirements and align with company policies.
Address and resolve purchase order and invoicing discrepancies.
Perform data entry and maintain accurate records of purchasing activities, including creating and managing necessary documents such as invoices and purchase orders.
Collaboration & Problem-Solving:

Maintain close communication with suppliers, internal departments, and stakeholders to promote efficient order processing and resolve any procurement-related issues.
Work collaboratively with planning, logistics, and management teams to ensure smooth procurement operations.
Additional Duties:

Participate in special assignments and projects as directed by management to improve processes or support departmental goals.
